WhatsApp appointment booking for clinics

WhatsApp booking lets a patient reserve a slot by messaging the clinic. It works well when the message always carries the same details: name, contact number, the chosen batch and a payment reference. Reception checks the payment, confirms the slot, and keeps one record per booking. A small UPI deposit with its UTR makes each booking dependable.

Why do clinics use WhatsApp for booking?

Almost every patient already has WhatsApp, and every clinic already answers messages on it. There is nothing for the patient to install or sign up for, and reception can handle bookings on the phone already at the desk.

The difficulty is that free-form messages arrive in every shape: some without a name, some without a time, some just saying "hi". Reception then has to ask follow-up questions for each one.

What should a booking message contain?

  • The patient's name.
  • A contact number.
  • The batch they are booking, for example the evening batch on a given day.
  • A payment reference, if the clinic takes a deposit.

Prefilling the message is the simplest way to make sure every booking has the same fields. The patient taps a button, the message opens in WhatsApp already filled in, and they just send it.

How does a deposit fit in?

What should reception check before confirming?

  • Leaving booking chats open on a screen patients can see, exposing names and numbers.
  • Not stating what happens to the deposit if the patient misses the booking.
  • Letting several staff confirm bookings without a shared list, which leads to double-booking.

How should the clinic organise booking messages?

Bookings arriving on the same WhatsApp number as everything else are easy to miss. A few habits keep them under control:

  • Use one WhatsApp number for bookings, on a phone kept at the desk, so bookings don't scatter across staff phones.
  • Label or pin confirmed bookings so they stand out from general messages.
  • Keep one list per batch, and add each confirmed booking to it straight away.
  • Reply to every booking, even if only to say it is confirmed. Silence makes patients call to check.
  • At the start of each batch, check the list against the messages so nothing is missed.
